
Q: When and where is the 2027 Annual Conference?
A: The 2027 VAAEYC Annual Conference will be in-person from March 2 – 4, 2027, at the
Kalahari Resort & Conference Center
Woodford, VA
This amazing new venue is just south of Fredericksburg on I95 and will offer state-of-the-art conference facilities along with a water park, an entertainment complex with go-carts, multiple restaurants and more.
Single/Double Rooms: $199.00 (Includes water park access)
Reservations will open in September as part of the conference registration process.
Q: Where should I stay?
A: The Kalahari Resort & Conference Center
The rooms will be $199 for single/double and include water park access. The room block will open for reservations in September along with conference registration and the room block is anticipated to sell out – so don’t delay!
Q: What will the 2027 Annual Conference Cost?
A: VAAEYC works hard to keep conference costs as affordable as possible.
The Board is currently reviewing the budget and the prices will be announced in August.
Note that Non-MEMBERS pay an additional premium fee of $75 per registration.
Q: I am a member of NAEYC or SECA – how do I get the membership discount?
A: Active members of VAAEYC will need to enter their member number at the time of registration to receive the member rate discount code.
You will also have the opportunity to join when you register!
If you are a member of another NAEYC affiliate or in another state, we will have to verify your membership which may take a bit of extra time. (We have to reach out to each affiliate to confirm membership.) So when you request the code be sure to include your name, address, and email address to help us verify it faster. Be sure to update your membership listing with NAEYC or SECA to make sure we have your email address.
Q: What is the cancellation/substitution policy?
A: The cancellation policies are as follows:
Participants: Cancellations prior to February 1, 2027, will be charged a 50% cancellation fee. Any cancellations, including no-shows on or after February 1, 2027, are not refundable. You may transfer your registration (except student registrations) to another person at any time prior to the original registration check-in and badge pick up. Registration sharing is not allowed and will result in loss of contact hours and participants being asked to leave.
Exhibitors:
• 50% of the fee will be refunded when cancelled prior to midnight on February 1, 2027
• 0% refunded when cancelled after February 1, 2027
• No-shows forfeit all fees.
Sponsors: Sponsorships often incur hard costs that VAAEYC can’t refund, such as for sponsored products, so sponsorships may not be cancelled at any time once the agreement is received and paid. However, VAAEYC will work with the sponsor to ensure that the sponsor receives value for the amount paid – whether it be transferring the amount to a future year, or by providing additional marketing opportunities, such as placement on the VAAEYC website, ads in the newsletter, or other opportunities.
Q: When will the schedule of workshops be available?
A: The workshop schedule will be available in early November.
Q: Are there sponsorships or exhibit space for vendors?
A: Yes! There will be an exhibit hall and some great sponsorship opportunities. These opportunities will be available in July.
