The Official Conference Tracker Attendee Guide
Written by Conference Tracker specifically to share with you, our attendees, this guide offers step-by-step instructions from start to finish and also details all of the many features in the app, complete with useful links and screenshots. We’ll give you the highlights on this webpage here, but PLEASE BOOKMARK THIS GUIDE as well. This platform has a LOT to offer that we think you’ll like!
Getting Started
You have likely already received an invitation from the platform to log in. This email has your unique link as well, which will let you skip the login screen. These invites were sent to the email address you used to register.
If you have not received these emails and they are not in spam, please contact Michelle. Please note that we can not use the same email address for more than one person – each person must have a unique, valid email.
To login into the attendee portal in your browser (it’s mobile-friendly as well), go to the Conference Tracker website, and click the GREEN “Log in” button at the top right. Enter the email address you used to register for the conference and click “Continue”.
If you have already set a password, enter it now, and log in. Your attendee dashboard will open.
If you have NOT set a password, click “forgot password”, and follow the steps. If you encounter difficulties with this, please contact Michelle for a manual reset from the admin side.
To download the app, look for “Conference Attendee” by Engineerica Systems in your app store. Or, click or scan below.
The Conference Attendee app and portal have MANY useful features that will enhance your conference experience and provide you with all of the information you need while you’re in Richmond. We’ll cover the highlights below. To learn about all the features, we recommend browsing the User Guide and taking a moment to browse the portal and app.
Key Features
This is the home page in your attendee app. From here, you can go directly to find information on sessions to build your schedule, presenters, and exhibitors, your attendance, and available session evaluations after sessions conclude.
You can build your schedule by clicking on “Sessions”, selecting a day, and clicking the bookmark next to a session you’d like to attend.
Return to this screen by clicking “Home Page” in the center of the bottom of your screen.
By clicking on the three-bar menu at the top or bottom left of the home screen, you’ll open up the full menu. Scroll to move through it to access all of the features.
The QR Code located in the banner is the same QR Code you will have printed on your name badge. Click on it to show your digital “badge”.
Be sure to update your profile, and use the features in the “Network” section to connect with each other.
Note the “Virtual Exhibit Hall” as well the listing for “Exhibitors”. Both of these features will help you learn more about and connect with our exhibitors, schedule appointments, message, or request more information. The Virtual Exhibit Hall offers our exhibitors the chance to build an even more robust “booth”, and helps them learn about you more easily.
Keep an eye on “Announcements” and “Notifications” – here you’ll find not only updates from the VAAEYC Conference Team but notifications from the app itself (private messages, appointment scheduling, social updates, etc.) Don’t forget to get social! Share pics, notes, posts with all!
Be sure to scan in AND out of sessions using the QR Code on either your paper name badge or your digital badge in the app. This data determines if you are eligible for attendance credit for a session. After a workshop you attend concludes the evaluation will be available under “Session Evaluation”. These evaluations are REQUIRED for those who purchased CEU tracking.
To learn about all the features in the app and portal, we recommend browsing the User Guide. Please note not all features will apply to the VAAEYC Annual Conference.
